ITWorks Offboarding and Onboarding Training
Purpose
The purpose of this article is to guide requestors on how to submit an offboarding and onboarding request.

All requests for Tech Onboarding & Offboarding will use the workflow on the ITworks Portal. All information will be directly entered and we no longer need you to submit an offline form. The Portal is located at:
help.insideplastics.com
No additional approvals are required to process either a Tech Onboarding or Tech Offboarding. If you have access to the capability (e.g. you have the two additional tiles on the Portal), then you can submit a request.
Please note, the payroll & benefits approval steps and process remains unchanged – ITworks only supports the technology portion of the on and offboarding requests.

Onboarding Process
The Support Desk will process the request as soon as it is received – we do not work or time the onboarding steps based on start date. Please plan accordingly, especially if shipping hardware to a remote user.
General Considerations
•New staff and new contractors that require hardware, software, or access follows the same process
•The form is dynamic, as you make selections, different options will appear
•
MSFT Office 365 & E-mail
•Please consider what type of e-mail (if any) is needed
•If it is simply to log into JDE or R12, then consider selecting the lower cost options of web only or no e-mail required
•We require an e-mail account for all contractors.
•It does not have to be Plastics Family based account
•They can provide their business e-mail address

Hardware & Software
After submitting the base information about the person, you will select the various hardware & software options for the new staff.
This list is a streamlined list from the full Service Catalog. It contains the primary items needed for a new hire. Rarely used software is not included in order to simplify the process.
The cart on the right-hand panel details your options and the cost (if any) that will be charged to your Profit Center.
Once you hit submit, you cannot change your selections, you can only cancel the ticket if it is still in progress.

Offboarding Process
General Considerations
The offboarding process is initiated through the ITworks Portal as well. If you have an extremely sensitive request, you may contact either Tom Leser or David Walsh directly.
You will be contacted by the Support Agent assigned to your offboarding prior to the event. They will reach out to confirm the details of the desired timing.
Finding the Person to Offboard
You select the person for offboarding by entering an email address to find them in the ITworks directory. For those staff that we did not provision an email address, we created a placeholder account in the ITworks e-mail directory using the following format:
<First Initial><Last Name>@<Brand Name>.local
or
Jsmith@Laird.local Bjohnson@Polymershapes.local
MSFT OneDrive 365 & E-mail Retention
•You are given a choice to either no retention needed or retain for 90 days
•If you choose 90 days, you will be given notice to extend for another 90 days (more details to follow in subsequent User Guides)
